Set up scheduling
1
Create the booking profile
Set the public workspace slug, business details, default language, and booking-page settings. Publish the profile only when it is ready for customers.
2
Add providers
Create each person or resource customers can book. Give every provider an explicit timezone and optionally link the matching team member.
3
Define availability
Add weekly working hours, including split windows when needed. Use date overrides for holidays or special hours, and add manual blocks for unavailable periods.
4
Create a service
Set the service title, description, duration, slot interval, buffers, notice period, booking horizon, daily limit, location, confirmation mode, required contact fields, and assigned providers.
5
Publish and test
Publish both the scheduling profile and the service. Open the public link in a private browser window, book a test slot, and confirm it appears under Appointments.
Service policies
Use the service settings to control:- Instant or Request confirmation
- in-person, phone, video, or custom location instructions
- minimum booking notice and maximum booking horizon
- before-and-after buffers
- daily booking limits
- cancellation and rescheduling cutoffs
- required email or phone details
- custom questions for the customer
Connect Google Calendar
Connect a provider’s primary Google Calendar from the scheduling availability setup. BoundBot uses the connection to avoid conflicts and projects confirmed appointments onto that calendar. Use a calendar owned by the provider and verify the selected calendar before publishing. If you disconnect it, BoundBot continues to use its own availability and appointment records, but external calendar conflict protection is no longer available.Share a booking page
The public URLs use your workspace and service slugs:Let the bot schedule conversationally
BoundBot can find services and slots and prepare bookings in WebChat, Messenger, and WhatsApp conversations. WebChat voice can use the same scheduling catalog. For a reusable bot tool, create a BoundBot Scheduling action, choose the bot and a published service, and write clear instructions for when the bot should offer it.A conversational booking uses a two-step confirmation boundary. BoundBot first presents the service, provider, time, timezone, contact information, and answers for review. It creates the appointment only after the customer explicitly confirms in a later message.
Manage appointments
Use Appointments to filter the agenda by day, week, month, or a custom date range and by provider, service, or status. You can create a staff appointment, review its source and customer details, confirm or reject a request, reschedule or cancel an active appointment, and mark a confirmed visit completed or no-show. Customers receive a secure management link after booking. Depending on the service policy and current status, that page lets them cancel or reschedule. Appointment emails include calendar details. WhatsApp reminders require approved Meta templates before they can be delivered outside the normal customer-service window.Access and plan changes
Scheduling administrators can configure the profile, services, providers, access, integrations, and all appointments. A Scheduler can manage all appointments without changing configuration. A Provider can manage only the linked provider’s appointments, availability, and calendar connection. If the team moves below Pro, existing appointments remain visible and scheduled notifications continue, but new bookings and configuration changes are blocked until scheduling access is restored.Related pages
